How to Communicate Effectively with Top Management

Much has been written about how to communicate effectively across the organization, but my idea through this article is how to communicate effectively with the top managers, CEOs and Directors of the company. Many people do have good skills of speaking and writing, but word “communication” tells the different story. My definition of communication is “the art of convincing people in minimum words”. Means that if you speak a lot or write a lot, it might not work when it comes to communicating with the top management.


People like Directors and CEOs can’t have enough time to listen long presentations and read long reports. They want to-the-point and brief story which should depict the strong essence of future success.

The following few points can help new entrants in any organization, new managers, and anyone else who need to communicate with the key decision makers. After all, they have power and authority to give you an instant jump in your career once you become successful in communicating your ideas effectively.

Speak Less but Speak Strong

If you have fortunately found an opportunity to present your ideas in front of the bosses, remember that they don’t have the whole day to listen to your voice. You have only few minutes to make or break.

Start with a reason why your idea is the best and what benefits a company will get if they put resources in such activities. Tell your execution plan briefly and end by telling the positive results company can enjoy in the future.

Learn to Write

Not many people have good English writing ability. People who speak very good English usually can’t play with words when it comes to writing. Wrong grammar, spelling mistakes, illogical sentences etc. can only confuse the bosses but cannot make them happy.

Therefore, I strongly recommend that professionals should focus on improving writing skills during their professional career as well as students should learn to write good English during their studies.

Write Briefly but Effectively

Again, top managers are dead busy people, they have no time to read lot and lot whether it is a routine email or a marketing plan of a new product. They want brief and to-the-point write ups so they read and understand the things in minimum time.

While writing anything for top managers, AVOID WORDINESS. Write short sentences and every new sentence should carry the idea of previous sentence and must tell something new. Remember, bosses love to read executive summary, therefore you should know how to summarize the whole report in few paragraphs effectively. Executive summary is always put first, but it is recommended that it should be written after writing the full report.

Conclusion

People in the top management are successful people and they are not reluctant to promote anyone within the organization. However, you first need to prove that you have some good strategies which can help the organization grow, and this can’t be done without powerful communication skills.
